Customer Service & Billing Administrator
Horizon Climate Controls is looking for a friendly, organized and dependable Customer Service & Billing Administrator to join our office team.
This is a full-time position that combines two important areas of our day-to-day operations: customer service and scheduling, as well as billing and accounts receivable.
You’ll be one of the main points of contact for our customers while also helping ensure completed work is invoiced accurately and customer accounts are kept up to date.
Customer Service & Scheduling
- Answer incoming phone calls, emails and customer inquiries
- Provide friendly and professional customer service
- Schedule service calls, installations and other appointments
- Coordinate schedules with technicians and customers
- Gather accurate information from customers and enter job details into our system
- Communicate appointment details, scheduling changes and updates
- Assist customers with general questions about their appointments and services
- Help keep the daily schedule organized and running smoothly
Billing & Accounts Receivable
- Review completed jobs and prepare customer invoices
- Ensure labour, materials and other charges are billed accurately
- Send invoices and statements to customers
- Process and apply customer payments
- Monitor outstanding accounts and follow up on overdue invoices
- Communicate with customers regarding billing questions and account balances
- Investigate and help resolve invoicing discrepancies
- Maintain accurate customer account records
- Assist with collections and account follow-up when required
What We’re Looking For
We’re looking for someone who is:
- Friendly, professional and confident communicating with customers
- Highly organized and able to manage multiple priorities
- Comfortable working in a busy office where priorities can change throughout the day
- Detail-oriented, particularly when working with invoices and customer accounts
- Comfortable following up with customers regarding outstanding payments
- Able to communicate clearly with customers, technicians and coworkers
- Dependable and able to take ownership of their responsibilities
- Comfortable learning new software and office systems
- Able to work both independently and as part of a team
Previous experience in customer service, scheduling, administration, invoicing or accounts receivable is an asset. Experience in an HVAC, construction, trades or service-based business is also an asset, but not required.
Position Details
- Position: Customer Service & Billing Administrator
- Employment: Full-Time
- Schedule: Monday–Friday, 8:00 AM–4:30 PM
- Location: Williams Lake, BC
- Wage: $25.00–$28.00 per hour, depending on experience
